V&R Exhibit Terms

Below are the terms for the art exhibit Visibility & Remembrance: Standing with the Trans* Community. More information about the exhibit can be found here.

Exhibit Terms:

This agreement is made between USF WGS and USF Women's and Gender Studies Alumni Group (UWAG) (hereafter referred to as the organizers) and you (hereafter referred to as artist). Artwork not fitting the spirit of the theme will not be exhibited.

Pieces we can accept include paintings, drawings, mixed media, 2D and 3D pieces, photography, and digital art. Video/recorded performance art and music submissions are also accepted; however, we have limited space/capability to display these works in our physical exhibit. Short literary selections are also accepted.

1. Exhibition and Installation Dates: The organizer will exhibit the works of the artist to the public in the lobby of the University of South Florida Women and Gender Studies Department beginning November 17, 2021 and ending April 1, 2022. Work should be present for installation by October 20, 2021. Following the exhibition, the Artist may pick up the work or coordinate shipping or storage with the organizers (artists are responsible for all shipping charges).

2. Shipping stipend: No shipping funds are provided and artists are responsible for all shipping charges (if applicable).

3. Security: Artwork will be on display in a somewhat public area -- the lobby, library space, and seminar room of the USF Women and Gender Studies Department. There is typically an employee on-site and the door is typically kept locked where there is not someone working in the front office. All possible care will be taken on the part of the organizers to make sure the work is protected however, they cannot be held responsible for any damage to artwork.

4. Insurance: No insurance is provided.

5. Physical Exhibit Installation: The organizers are responsible for the installation of the physical exhibit. Artists are welcome to assist or install their own artwork (coordinate with USF WGS by contacting Sarah). All artwork that will hang on the wall should arrive ready to hang from an S-hook (similar to this: https://bit.ly/3xfjggL) with a picture wire or bracket. USF WGS is not able to put holes in the walls, but there is one false wall that is approximately 4 feet x 6 feet that can accommodate some pieces that cannot hang from the S-hook. If the artwork is unable to be hung from an S-hook or you need to discuss this further, email Sarah. Additionally there are two glass display cases that can accommodate three-dimensional art. If your three-dimensional artwork needs a stand, etc. to be displayed the artist is responsible for supplying it. If your artwork is a recorded video or sound file, there is a computer with a monitor that can play sound and video.

6. Physical Exhibit Takedown: The organizers are responsible for taking down the physical exhibit. Artists are welcome to assist in taking down their artwork. USF WGS will contact the artists approximately two weeks before the exhibit closes so that takedown, pickup, and/or shipping details can be arranged (artists are responsible for all shipping charges). Any work of art that isn’t picked up/arranged for shipment by the designated time (approximately one month following the exhibit end) will become the property of the organizers.

7. Online Exhibit: The organizers are responsible for the installation of the online exhibit. The online exhibit will does not have a set end date; if an artist wants their artwork removed from the online exhibit when the physical exhibit ends, they must let the organizers know by emailing Sarah or by using the contact form on the exhibit website.

8. Promotion: The organizers will make their best effort to promote the exhibition to the public. The artist grants the organizers permission to take photos of the installed exhibition for promotional purposes.

9. Reception: The organizers shall hold a reception during the exhibition dates (unless COVID precautions interfere). USF WGS is responsible for reception costs and all details concerning the type of reception, time, date, refreshments, etc. All artists will be invited by email to attend the reception.

10. Sales: The organizers will not be handling sales of artwork, but will include information with the artwork on exhibit about whether a piece is for sale and how to contact the artist(s).

11. Rights: The artist retains all rights to their work but gives permission to the organizers to display the work in the physical and/or online exhibit (as applicable) and to use images of the artwork in promotional materials to promote the exhibit.

12. Acceptance of artwork: The organizers reserve the right to accept or decline submitted artwork. If the amount of artwork submitted for the physical exhibit exceeds the space available, we will give artists the opportunity to elect to have their artwork in the online exhibit instead.
