Spring 2020 Move-Out: Residents Currently Off Campus

Move-Out Update 06.18.20: Click here to review an important message e-mailed to residents who have items remaining in their room and have not completed a check-out. This does not apply to those with vacated rooms or to those approved to remain on campus for the summer term.

As we come to the final stages of Spring 2020 move-out, our records indicate that while we have contacted you numerous times you have not returned to campus to retrieve your belongings or checked-out.  If you believe you have received this notification in error and have previously removed all belongings from your room, please email us at housing@usf.edu so we may update your records.   

While we recognize some residents have been unable to return to campus due to ongoing travel restrictions or the ability to secure a proxy to complete move-out on their behalf, the University must move forward and urge you to make arrangements to retrieve your belongings and return your keys by June 30, 2020.  

In order to support students who may need an alternative, USF Housing & Residential Education (HRE), is offering a Pack, Ship and/or Store service through third-party vendors. USF HRE has partnered with two university-approved vendors for residents and their families to directly arrange packing, storing, shipping and/or delivery options of their remaining belongings.

Starting Friday, June 19, move-out options will be as follows: 

Option 1 - Schedule an appointment time for yourself or individual proxy, to remove all belongings from your room. Remaining appointments are as follows:

Dates:  June 18-19, June 22-26,   June 29-30
Times:  8:30-10:30am, 11:00am-1:00pm, 1:30-3:30pm

These will be the last dates and times offered to residents to move-out. 

Appointments can be made by contacting housing@usf.edu. Please include your Name, UID#, Building, Room#, Move-out Date & Time.  If you are using a proxy to remove your belongings, please include your Proxy’s Name, Phone # and relationship to you.

Please Note: If you lived in a Traditional, Suite or Apartment with other residents and they have not moved out, we require your roommate(s) to provide us with an email, giving your proxy permission to enter your space and retrieve your belongings. Roommates must email housing@usf.edu from their usf.edu email address and include their name, UID#, and include the following statement: I (name of Roommate) agree to allow (your name) to send a proxy in to our space to move out their belongings. 

Once all information is received by Housing, an email approval will be sent to the resident with additional move-out instructions. 

Option 2 - Moving Companies 

Starting Friday, June 19, residents will be able to contact the approved moving companies directly to arrange a moving appointment, billing, and the option of storage, shipping and/or delivery of their items. Each moving company will only accept appointments up until June 30. Moving companies will be on campus July 6-10 to move residents’ belongings.  The average costs will range from $200-$600 depending on requested services.

It is your responsibility to return to campus to retrieve your personal belongings or make arrangements with one of our approved moving vendors as soon as possible. You will not have the option of leaving your belongings in your current space even if returning to campus in the Fall and must make arrangements to remove all of your belongings.  It is critical, to clear the rooms in order for each room to be deep cleaned and sanitized prior to the Fall 2020 resident move-in.  

Please note, failure in making the necessary arrangements by June 30, will prompt immediate action with the removal, storage or possible disposal of all remaining items. Any fees incurred with this process will be charged to the resident’s account. 

If you have moved out and have not returned your keys, please email us at housing@usf.edu. In addition, please follow the instructions below to mail your keys back to campus as soon as possible to avoid any possible lost/missing key fees. 

Please mail all keys to the following address and be sure to obtain a tracking number from your shipping carrier and use a padded envelope.

5.1.20 Residential Update: Move-Out Process

Housing & Residential Education has been working hard to plan a safe and successful move-out for our residents currently away from campus. The following information explains a complex process. Please take the time to review each section.

On Wednesday, April 29, Governor Ron DeSantis announced the “Safe. Smart. Step-by-Step." Plan for Florida’s Recovery (Executive Order Number 20-112). This order lifts the “Stay at Home” Order (Executive Order number 20-91) in Florida on Monday, May 4. Therefore, USF Housing & Residential Education will begin to re-open the move-out sign up form to allow residents to begin returning to campus, in staggered phases, to move out their belongings.

Our philosophy surrounding our move-out plan is focused on an expedient move-out for our residents in the safest way possible. Our plan is based on guidelines from state and local leadership and the CDC, as well as campus layout and resident distribution. In order to accomplish a safe and balanced move-out schedule, we have established move-out timeslots based on building population and resident’s home address on file in OASIS.

Residents from New York, New Jersey, Connecticut, and Louisiana are restricted from return to the residence halls (Executive Order Number 20-82 and Executive Order Number 20-86).  We will add appropriate dates and times for these residents to return to campus as additional information becomes available.

MOVE-OUT DATES/TIMES

Please see the table below to identify your move-out window based on your home address in OASIS and your assigned building on campus. Residents who are physically off campus must sign-up via the Housing Portal for a move-out time slot within your assigned dates before returning to campus. To maintain social distancing practices on campus, residents will be permitted in their building only during their selected date and time.

All students not physically residing on campus may ONLY return to campus during their confirmed move-out date and time. Please continue to be flexible as these dates are subject to change based upon changing conditions.

Schedule Your Move-Out Time

  • Login to the Housing Portal to select your move-out date and time. Please see the table above for your applicable move-out time slot and when you will have access to sign up.
  • Select the ‘Move-Out Sign Up’ icon and follow the instructions to select a date and time to move out. Consider travel times and the availability of any assistance you will need before selecting a time.
  • Move-out time slots are available from 8:30 a.m. - 4 p.m.

MOVE-OUT PROCESS

Preparing for your Move-Out: Please review the following information to prepare you for a safe and successful move-out.

  • Please remember to bring your keys and access cards to campus for move-out. You will need these to access your building and room.
  • Card access authorization to the building will be granted to residents only during their approved move-out date and timeframe.
  • Residents will have two hours to complete the express checkout.
  • To minimize crowds, residents can bring no more than two people to assist with their move-out.
  • No children or pets permitted.  Only certified service animals are allowed.
  • HRE expects residents and their assistants to follow CDC guidelines, including bringing and wearing personal protective equipment (face masks/gloves), practicing social distancing and frequently washing their hands, when in the buildings.
  • Carts and bins will not be available so please bring your own, if necessary.
  • Residents are strongly encouraged to follow CDC social distancing guidelines when utilizing elevators. Limiting passengers is ideal. Use a covered hand or elbow to press the buttons.
  • Update your forwarding address in the Housing Portal and contact any pending deliveries with your updated delivery address. This includes updating your default address in Amazon. To access the mail forwarding form in the Housing Portal, choose My Account, My Profile, and choose Mail Forwarding Information.

Room Check-Out Instructions: Residents will complete an express check-out on campus. Please follow the following the below express check-out steps.

  1. When you arrive on campus for your scheduled move-out time, proceed directly to your building and room.
  2. Remove all personal items from your room/apartment. Remember to retrieve any bikes stored outside before you depart. Bikes remaining in the racks, will be removed and disposed after the move-out period concludes.
  3. Remove all trash and properly dispose in dumpsters.
  4. Leave the air conditioning fan on HIGH or at least 72 degrees and keep your blinds open when you leave.
  5. In order to maintain social distancing practices, residents will not complete a RCR/check out with an RA/CM. Your Residence Life Coordinator will assess your room for any significant damages later. Take a photo of your room to document its condition for your records.
  6. Remove your express check-out envelope from your door and fill out the required information on the envelope. (Additional envelopes are available at your designated Mail Center.) Place your keys inside and drop your keys off at your designated Mail Center (Holly H for north campus and Juniper-Poplar for south campus). Please pick up any remaining mail when you check-out at your Mail Center. To maintain social distancing, we ask that only the resident drop off their keys at the desk while their assistants wait outside.

Parking

Instructions to Facilitate your Move-Out

  • Parking regulations are in place and enforced on the USF Tampa campus 24 hours a day, 7 days a week. Please review the Parking Rules & Regulations.
  • Loading and unloading zones near residence halls will be in place during your move-out.
  • Please do not park in the unloading zones longer than 30 minutes. Please refer to the Residential Maps help direct you to a nearby parking lot.
  • Please do not park in any "disabled parking" space unless displaying a proper state-issued Disabled Parking placard, hangtag, or license plate.
  • Please do not park in numbered, reserved, or labeled parking spaces.
  • When parking, please note that the Publix parking lot is not a USF parking lot and non-customers parked in the lot will be subject to Publix parking restrictions.

Mail

  • Please pick up any mail and or packages from the mail centers before leaving campus. Ensure all of your carriers have an updated address on file for you.
  • Update your forwarding address in the Housing Portal and contact any pending deliveries with your updated delivery address. This includes updating your default address in Amazon.
  • To access the mail forwarding form in the Housing Portal, choose My Account, My Profile, and choose Mail Forwarding Information.
