When are large capacity, special requests, and physical limitations requests due?
All of the above requests can be found on the class scheduling timetable guideline. The dates are subject to change without notice. Always consult the website for the most up-to-date version.
Can I view the classroom layout, features, and capacity?
Yes, general use classrooms details are viewable on 25Live under the locations tab. Search by keyword, the three (3) letter building and room number to find the location. Then click on the location name and the details of the location will load. This will include the features, layout, maximum capacity, photos of the space, and location scheduler. To view the room closer, click on the photo. If there isn't a photo of the space, the room information has not been updated and will not be accurate.
Why isn't 25Live working properly?
The two supported Web browsers for 25Live are Google Chrome or Mozilla Firefox. Internet explorer is not supported by the 25Live software which can cause 25live to malfunction. If the issues occur in a supported browser, please email help@usf.edu, include 25Live in the subject line, and detail the problems.
How do I know my event request has been successfully submitted?
The requestor will receive a system generated email with a link confirming that they are assigned to that event. Once an event has been requested, ASCM will receive an event request in 25Live drafts. The event will be processed in the order it's received. Please allow two business days to process event requests. Last minute requests will be denied.
When do I know my event has been successfully scheduled?
The requestor will receive a system generated email with a link detailing the event as tentative. A tentative state serves as an event confirmation. To view the scheduled rooms, click on the link in the email provided.
There are various reasons for an event to be denied. Some common examples are last minute requests and events relating to student organizations. The explanation is noted in the confirmation text box on the event details in 25Live. When the system generated email is received, visit the link provided to see why the event was denied.
Why can't I schedule my event request in 25Live?
Attending a 25Live Requestor Training is required to have access to request general use classrooms space.
Also, 25Live will not allow users to schedule events of any kind during drop/add week, finals week, or the future term. The Event Wizard will open for the active term on the Saturday after drop/add week concludes. Once the form is open, requestors can submit their requests in 25Live and ASCM will process them during business hours on a first-come-first-serve basis.
What does it mean when I receive a pop-up that says "You do not have permission to
edit tentative events"?
Requestors do not have permissions to edit events in a tentative state. If a requestor needs to make edits to an event, those edits can be sent via email to Askspace@usf.edu. Please be sure to include the event title, reference number, and list of edits that need to be made in the email. Note that a two-business day notice is also required for processing event edits.
When will my event be confirmed and not tentative?
The event state of confirmed is not used by ASCM. Tentative is the event state that indicates your space has been reserved. We will not remove a space with an event state of tentative without consulting the Requestor prior to removal.
Why do alternative calendar course room assignments go in 25Live and not Banner?
Alternative calendar courses do not follow typical meeting patterns and do not meet the entire term. When 25Live receives the information from Banner the system assumes the course is meeting the entire term. Therefore, to avoid conflicts and inaccurate schedules of rooms, any alternative calendar courses with a non-standard meeting pattern are entered in 25Live for accuracy. The room assignment of these courses can been added to the comments of the course in Banner rather than the building and room. TBAT/TBA is the room assignment suggested in Banner as a place holder.
