Following data security best practice, USF IT is introducing Data Loss Preventions
(DLP) safeguards in Microsoft 365 to help reduce the risk of sensitive personal and
financial information being shared outside the university accidentally.
These protections will apply to external email, SharePoint, OneDrive and Teams activity.
Internal email and file sharing between USF accounts will not be affected.
We're going to rollout these DLP safeguards in stages. The stages are as follows:
- Starting Oct. 21
You may see a notice when an email, file or Teams message shared outside USF appears to contain sensitive information, such as a Social Security number, bank or credit card details, passport number or driver's license number. These notices are informational and will not stop or delay your work. - Starting Nov. 12
Email containing this information and sent outside USF will be encrypted automatically. The email will still be sent, but some external recipients may need to verify their identity to open it securely. - Starting Dec. 2
You will be asked to enter a brief business reason before sharing a file or Teams message containing this information with someone outside USF. After you provide the reason, the sharing can continue.
You can find a full overview of the DLP rollout, including information about what's
considered sensitive information and a detailed FAQ here, including contact information if you have additional questions or concerns not addressed
in the FAQ.
Thank you for helping keep USF's digital environment and your information secure!
