PCard Training Overview
About this Training
All persons who wish to obtain either a new PCard or a renewal PCard must take FST
108 PCard holder training. This is a classroom course available for signup through
GEMS Self-Service. If you have any questions regarding the test requirements please
send an e-mail to pcard@usf.edu
Note: The online certification exam will no longer fulfill the training requirement for PCard.
PCard Program Purpose
- To facilitate small dollar purchases such as office lab supplies
- To provide ease of travel W/O waiting for reimbursement
- To reduce costs associated with processing other forms of payment such as purchase orders
- To reduce costs associated with processing other forms of payment such as purchase orders
Definition of Terms
Cardholder - A Cardholder is defined as a University of South Florida System employee whose name appears on a PCard and who is accountable for all charges and payments made with that card.
Reconciler - A Reconciler is the USF System employee who ensures appropriate PCard use, matches Cardholder receipts to the electronic PCard transactions, inputs required information to transactions, reconciles receipts to printed monthly reports and is responsible for the maintenance and timely reconciliation of reports and receipts. Reconcilers can be Cardholders but they cannot approve their own transactions.
Verifier - A Verifier is the USF System employee who adds required information to PCard transactions, but cannot approve transactions. NOTE: This role was established in FAST to allow departments the option of having members add information to transactions but not approve them. The approval would come from a Reconciler as described above.
Communication
- The PCard department manages a PCard listserv.
- Look for important information and announcements sent via e-mail through this listserv.
- All cardholders are automatically added when they get a new card.
- Any questions regarding PCard should be sent to pcard@usf.edu.
