Recent Changes to USF Work Order System

USF's work order system recently switched from FAMIS to Maintenance Connection. Read this page for details on the new system and processes.  

Open FAMIS work orders will migrate to Maintenance Connection. Requestors can refer to the "Check Work Order Status" section of the instructional materials to track requests in the new system.

For space surveys, Sarasota-Manatee work orders, and vehicle shop requests, users should continue to use FAMIS.  

USF uses Maintenance Connection to manage maintenance work requests for non-residential buildings. 

Whether you're reporting a maintenance issue, requesting a repair, or checking the status of an existing request, Maintenance Connection makes it easy to connect with the USF Facilities team.

Students

Students needing to report a non-emergency maintenance issue in a non-residential building should contact the Facilities Service Center:

Student Organizations and University Affiliated Organizations/Direct Support Organizations without access to Maintenance Connection please use the Work Request & Authorization Form (ARCD/Cashiers Office Payment).


Emergency Requests

Facilities emergencies involving life safety, major building impacts, significant property damage, or building-wide utility failures should be reported immediately by contacting your campus Service Center.

What Happens Next?

Once your request is submitted:

  • Your request is received.
  • Our Facilities team reviews and assigns the work.
  • You can track your request in Maintenance Connection.
  • You’ll be notified when the work has been complete.

WORK REQUEST TIMELINES:

Routine 

Requests include general maintenance and non-emergency repairs that do not impact the immediate safety or operation of a building. These requests are prioritized based on operational needs and are typically completed within a reasonable timeframe.

Examples include:

  • Burned-out light bulbs
  • Minor plumbing repairs
  • Ceiling tile replacement
  • Painting or cosmetic repairs
  • General maintenance requests

Same Day 

Requests involve issues that significantly impact university operations or affect the functionality of a building. While these requests do not require an immediate emergency response, they are prioritized for prompt attention.

Examples include:

  • Inoperable door hardware
  • Loose handrails
  • HVAC issues affecting occupied spaces
  • Water leaks requiring prompt attention
  • Damaged stair treads or trip hazards

Emergency 

For life-threatening emergencies, call 911 immediately.

Requests involve conditions that pose an immediate risk to health or safety, significantly impact building operations, or could result in substantial property damage. These requests receive immediate attention.

Examples include:

  • Building-wide power outages
  • Major flooding or active water intrusion
  • Fire or life safety system failures
  • Gas leaks
  • Other conditions requiring an immediate response

What to Include in Your Request: 

Providing complete and accurate information helps our Facilities team quickly review your request, assign it to the appropriate trade, and begin work as efficiently as possible.

Please include:

  • Requestor and location information, including your name, contact information, department, building, room number, and the exact location of the issue if it's outside a room (such as a hallway, stairwell, or exterior area).
  • A detailed description of the issue, including what needs attention, when the problem started (if known), and any information that will help our team understand the scope of the work.
