General

Where is the main office and what are the hours of operation?

IB Tampa is located in SCA 112 and we are open from 8:00am - 4:00 pm Monday - Friday. 

Who do I contact if my website profile has wrong information or I want to update it? 

Who do I need to speak to for my news article/story/accomplishment to get posted on the website?

All requests for updates to the news page can be submitted using the IB Website/News Update Request form.

What is USF's prefered file storage application?

USF Box is the preferred file storage application for the USF system. Folder owners can share access to box drives with people inside and outside of the USF network. Please keep a careful eye on your Box drive members and keep members up to date semester by semester.

Depending on your position you may be invited to several different box folders that keep important department information and documents. Please use caution when deleting/moving files from shared folders.

Rooms, Keys & Access

Who do I contact to request keys or to update my swipe access?

To order keys or request building swipe access for you or your lab members, please submit your request using the Key Request Form

Please note that the key shop can take up to 4-6 weeks

The building where I'm supposed to teach is currently locked, what do I do?

Building Access/Keys: Tampa CAS buildings are open Monday through Friday from 7:30am–9:00pm. Outside of these hours, you’ll need to use your ID card to gain access.

Locked Out? Department staff are happy to help with letting you into departmentally managed offices and classrooms in SCA, ISA, and BSF. Please visit SCA 112 to request assistance.

The classroom where I am supposed to teach is currently locked, what do I do?

  • Tampa campus: The scheduled location(s) will unlock 30 minutes before the first scheduled event and the doors will lock 15 minutes after the last scheduled event. If the doors have not opened within these guidelines, please contact:

Who should I speak with if I need to reserve a room for my lab meeting/defense/department event?

Room Reservations: Fill out the Room Reservations Request Form in order to reserve a room for your thesis/dissertation, lab meeting, or other department event. Make sure you provide as much notice as possible. The rooms in the building have limited availability once the semester begins and it may take some time to find a room that suits your needs.

Parking

Does USF actually enforce their parking pass policy? 

Yes, parking Permits are strictly enforced. Permit types and purchase information are available from Parking & Transportation Services. Their website is also where you can review maps of all available campus parking.

My visitor needs to park on campus, who can help with that?

If you have a visitor who needs a daily parking permit, please email Giovanni Luciano. Your guest must ensure to park in the appropriate parking areas that are specified on the permit.

 

Printing, Copies & Makeup Exams

Where can I go to print out items for my class?

A color printer and high-capacity black & white printer are available for faculty and staff use in SCA 112. Please contact Giovanni Luciano so they can request that IT add you to the security group for the printers. 

I don't have time to make copies of my exams, is there someone who can help with this?

Yes there is our student assistants and office staff can accommodate your requests, however, we ask a few things first.

  1. 48-hours notice is required for all teaching materials and exam copies.
  2. You must drop off your copy request in person in SCA 112 in the exam cabinet.

The IB Office staff are unable to guarantee your copy request if you submit your request with less than 48 hours notice.

My student can only make up their exam while I'm going to be teaching another course, what should I do?

Although make up exams should be proctored by Tas or instructors whenever possible we understand that sometimes schedules won't always allow for this. If Office staff are available they can help by proctoring make up exams in SCA 112. These requests should be sent to the Department Operations Manager, Academic Program Specialist and Academic Services Administrator with 48-hour notice. 

Office staff will have the student place their belongings in a cabinet and seat them at an empty table. Office staff may need to return to work while the student is taking their exam and can not guarantee academic integrity, this is why using the office team for exam proctoring should be a last resort.

 

New Employees

I'm new to USF & the Department of Integrative Biology, what do I need to know?

First of all, welcome to USF and the Department of Integrative Biology, We are excited to start working with you!

We hope that the information provided here will help you get acquainted with our department, USF and the Tampa bay region.  If you find yourself with any questions, need help with any topics not covered here, or have topic suggestions, please feel free to reach out to your supervisor or our department offices.

Pre-Arrival Checklist

  • International hires should plan for their date of arrival in the USA.  Completion of the hiring paperwork and setup of your USF requires a social security card number, which can take 10-15 business days to process after application at a US office.  Therefore, it is recommended your arrival date in the USA should be at least 2-3 weeks ahead of your anticipated start date if at all possible. For more information on being an international student/staff or international resources, please visit USF World.
  • Complete hiring paperwork through Central Human Resources at the campus you have been assigned to. Paperwork is sent via email from HireRight.
  • Setup your USF Net ID.  This will be your login information to access the USF network and will serve as a handle for your USF e-mail.  For step by step directions on how to setup your Net ID click here.
    • Tampa hires: Please send your Net ID to the Department Operations Manager. They will assist with access to department systems.
    • St. Petersburg and Sarasota-Manatee hires: Please inform your supervisor and hiring contact when your Net ID is active
  • Review campus map and identify parking areas

Your First Week

  • Many USF systems require dual factor authentication. Information on data security may be found at https://www.usf.edu/it/data-security/overview
  • Setup your direct deposit through the MyUSF login. Once in GEMS you can update your direct deposit information and address information. You can use this portal at any time to keep your personal employee information up to date, request leave, and view your paychecks. Please visit the UCO website for additional information.
  • Visit the Campus Information Center (CIC) at 11711 Leroy Collins Blvd with your offer letter to pick up a temporary, courtesy two-week parking permit. Employee parking permits may be ordered on the Parking & Transportation Services website. 
  • Attain your USF ID card from the USF Card Office. Your ID card can be used to access certain buildings after hours and can also function as a re-loadable meal card.
  • New faculty and graduate students should submit their website bio to the Biography Update form on the Internal Forms webpage.

Where can I get help with teaching or information on instructional resources?

USF Academy for Teaching and Learning Excellence (ATLE) is a great resource for training, networking and assistance with course design and current best practices.  

Where do I order keys?

Tampa campus employees can order keys using our online Key Request Form 

St. Petersburg and Sarasota-Manatee employees should see their supervisor about the process.

Classrooms and non-department controlled rooms will be unlocked 15 minutes before the start of class. For technical assistance during class, contact IT at help@usf.edu or 813-974-1222.

Are there department vehicles I can use for teaching & research? 

First time vehicle users must be registered with the department. Please review the Vehicle Procedures and Policies and then submit a Vehicle User Sign Up Form.

Tampa Department vehicles are available to be taken out by USF Students and Faculty at any time. Vehicles may be reserved using the Vehicle Calendar.

Who should I contact for help with arranging travel, either for a visitor to our department or if I need to travel for teaching/research?

  • All travel for USF must follow the USF Travel Policies.
  • Tampa - Within the College of Arts and Sciences, BFSS can handle all employee travel setup including your travel authorization request which must be submitted and fully approved prior to your first anticipated travel date. You may submit a travel request through their website.

Who do I contact for help with purchasing supplies/equipment for research, teaching, and/or my office? 

  • Purchasing requests for research-related supplies and equipment can be processed through CAS BFSS. Please review the IB Travel & Purchasing Overview for details.
  • Purchasing requests for teaching can be directed to Mary Mangiapia, Laboratory Coordinator, (for courses with lab fees) or Olivia McClamma, Department Operations Manager, (for courses without lab fees).
  • Requests for office supplies should be directed to the Academic Program Specialist. 

Where do I go for information on health benefits?

  • Graduate Students – Information on the student health insurance plan can be found here. The Student Health & Wellness center can provide assistance with a number of wellness areas. For more information visit their website.
  • Staff & Faculty – A summary of your available benefits and employment perks as well as information on policies surrounding attendance and leave is available through the USF Department of Human Resources.
