Graduate Curriculum Process

Graduate Certificates

For all actions - Faculty Submission and Notification Settings.

  1. Faculty must be the originator of the request due to faculty governance. Faulty may designate a staff member to submit the proposal on their behalf, but documentation authorizing them to do so must be uploaded to the proposal.
  2. Before proceeding, faculty are advised to confirm the notification settings so updates on the proposal will be received in the desired timing. (see Curriculog Information page for instructions).  Note- if staff submit for the faculty, staff will be the ones receiving the notifications.
  3. Submit one request per Certificate; do not submit one proposal for multiple Certificates.  If you have a proposal in process and have additional changes, contact Carol Hines-Cobb for how best to proceed)

Click on the action you want to do for information on procedures:

New Graduate Certificate

  • Complete the Intent Proposal or AMP process, as indicated by the Office of Academic Planning.  
  • Develop Catalog Copy - Work with Carol Hines-Cobb to develop.
  • Complete 2024-2025 Graduate Certificate Form in Curriculog.  M
  • "Save" and then "Validate and launch" the proposal in Curriculog
  • Upload the approved Intent Proposal Form, if applicable
  • Upload the proposed Catalog Copy in Word
  • "Approve" the Proposal to move forward
  • Initial Step is GS Proposal Review. Proposal is reviewed for compliance and either changes are requested or it is cleared to move forward. If this was already done, then OGS will just confirm the clearance. Proposal is then returned to proposer for dept review/approval. Faculty then "approve" to move to College review step.
  • Proposal is routed through approval process.
  • Upload confirmation of department approval or use the Graduate Certificate Approval Form, as specified by the College.
  • Once the College, Grad Council, and Grad Studies approve, the new approved Certificate goes into effect, and is included in the next Graduate Catalog,pending any requirements for SACSCOC.

Graduate Certificate Change 

  • Faculty request Catalog Copy from Carol Hines-Cobb in OGS
  • Update Catalog Copy using track changes in Word.
  • Complete the 2024-2025 Graduate Certificate Form in Curriculog
  • "Validate and launch" the proposal
  • Upload the revised Catalog Copy into the Proposal in Curriculog
  • "Approve" the Proposal to move forward
  • Initial Step is GS Proposal Review. Proposal is reviewed for compliance and either changes are requested or it is cleared to move forward. Proposal is then returned to faculty for dept review/approval. Faculty then upload that documentation, as required by the College, and "approve" to move to College review step.
  • Proposal is routed through approval process
  • Once the College, Grad Council, and Grad Studies approve, the revised curriculum goes into effect with the next Graduate Catalog, pending any requirement for notification or approval by SACSCOC .

Graduate Certificate Termination

  • Complete the  USF Internal Curriculum Termination Form
  • Complete form: 2024-2025 Graduate Certificate Form in Curriculog
  • Catalog copy is not required
  • Upload the Termination form to the Curriculog Proposal
  • Upload documentation of department approval, as required by the College
  • "Approve" proposal to move forward
  • Initial Step is GS Proposal Review. Proposal is reviewed for compliance and either changes are requested or it is cleared to move forward. If this was already done, then OGS will just confirm the clearance. Proposal is then returned to faculty to then "approve" to move to College review step. Proposal is routed through approval process.
  • Once the College, Grad Council, and Grad Studies approve, the curriculum is removed from the next Graduate Catalog, pending notification requirements to SACSCOC.
